If you have been looking for a comparison on Calendly and Scheduleonce, we have done an in-depth research and come up with this article.
Relativity is what essentially defines how good something is. A thing may be good in absolute terms and might also have been solving all the purposes. However, it is only when a comparison is made that a person realises if they were missing something or if they had something extra. This logic applies to almost everything on this planet. Be it your daily usage products or even something very specific to your business- a comparison is what defines how good a thing is.

Now, Calendly is a widely used scheduling solution and has been in the market for ages now. It is only obvious that any new product will have to match up to or exceed the benchmark set.
Whether it fairs well or not, is something that you will decide but for us, we will share all the relevant information.
So, go on and check out the differences or similarities that Calendly and ScheduleOnce have when compared with each other.
This one isn’t really a comparison since both the solutions can double up for the same thing. Both Calendly and ScheduleOnce can be used very effectively for B2B as well as B2C.
Given the ease of usage and additional features for easy website integration, CMS integration and team management, though, the point will go to ScheduleOnce
While we have tried explaining the basic purpose of both, let us have a look at their individual features too. Just so that you may have a better understanding of the similarities or the differences, we are going to put the features side by side!
For Calendly:
Before Calendly becomes enabled to book appointments, the user has to decide and pick the length of the meeting.
Once this is done, you just need to copy the link and share wherever you want and with whoever you want. You can choose to create a single user link which expires after a single use or you can create a multi-user link which will link back to your overall schedule. Or you can embed the calendar into your email too. The step would look like this:
The end-user i.e. the person with whom you had shared the link will just have to select the preferred date and time from the available schedule and it will be all done!
To have more than one person’s calendar synced for the scheduling, you will have to take either the Premium Plan which will allow 2 calendar syncs or the Pro plan which will have up to 6 calendar syncs.
For ScheduleOnce
Working on ScheduleOnce to set up the account is as easy as it gets. Everything is right there and immediately after you have registered, there is a prompt asking you to complete your profile creation. You can either manually upload your availability or you can simply integrate the calendars. Pooled availability is also enabled and since the very basic plan comes with full functionality for up to 3 users, you are in luck.
Calendly integrates with almost all the majorly used meeting platforms and CRMs.A quick list for your easy reference is given below:
ScheduleOnce provides relevant integrations too. Though the number isn’t as much as Calendly offers the quality of integrations will ensure that you do not miss out on anything relevant!
You can send out an email as well as SMS reminders depending upon the meeting scheduled and the plan that you have taken. The reminder bit remains the same for both Calendly and ScheduleOnce. One could say that that is because reminders and notifications are the hygiene which any solution in this domain has to maintain.
Calendly also allows you to add some buffer time reminders so that you aren’t panicked into preparation just 15 minutes before the scheduled time.
This is a sketchy area for Calendly with multiple complexities involved. However, the administrator can sync up the team calendars.
For ScheduleOnce, the service provider will have to create separate profiles for the available employees. The basic plan offers up to 4 profiles to be integrated. The paid plans have more, even unlimited integration options.
Provided by both. Only for Calendly, multiple calendar syncs are available in the paid plans only and come with their set of set-up hassles. However, once the initial set-up is done, things are easy breezy and your prospect can simply choose a date and time and the appointment is done!
ScheduleOnce appointment scheduling process is a bit longer than others. This can also be because a lot of control is given to the end-user. So, the end-user can decide the length of their meeting, the date and time. While it isn’t so much of a process yet, the very fact that it has multiple pages dedicated to it instead of putting it all in just one does make it odd. A case of poor UI/UX may be.
For Calendly, it looks more like:
For ScheduleOnce, it is an individual dashboard. Nothing too fancy and if you have had an integration with Google or Microsoft calendars done then well, that is what your interface is going to be.
As mentioned, both have the option for group scheduling, just that only ScheduleOnce offers the same in its basic plan and can accommodate up to four users.
For calendly, the same is available only in the paid versions. ScheduleOnce, owing to its business model has an edge in this domain.
Calendly also provides multiple methods for group-schedule. The same is given below. Just to mention, so many options aren’t available with ScheduleOnce
Again, a feature of the paid plan, there is a dashboard which the senior management or the supervisors can use to see the schedule of their team members.
Calendly isn’t a revenue management system and hence the dashboard will not display the revenue earned per person. The same holds true for ScheduleOnce too.
Here is a brief snapshot of Calendly’s pricing. The details can be accessed here

We feel that the pricing for Calendly is a bit much given that similar functionalities are available for free in Gsuite and Microsoft Office suite. While of course, the multi-provider integrations are available, yet there are various free software which provide the same too.
We feel that there is a need for Calendly to go a bit lax on its free plan and provide more there.
We will also appreciate ScheduleOnce here for their smart pricing strategy. Not sure how reasonable it would be for the firm but if marketed well, it will definitely get them, customers, in bulk.
Let us sum up all that we discussed above for you in a small table!
Calendly | ScheduleOnce | |
Pros | Calendly is great for situations, such as when one needs to offer scheduling blocks to people outside the organization. One can cut on the back and forth, follow-up emails and a lot of manual tracking. Plus, it keeps everything in one place so it is easy! | It is pretty advanced and with its smart pricing, this solution is especially affordable for the MSMEs. We feel that that is where the target lies too. With its set of relevant integrations and easy to use interface, ScheduleOnce will go a long way. |
Cons | It has to be integrated separately and since most of the businesses use Gsuite or Office Suite, there isn’t anything specific that Calendly is offering which would make one go for it | They could work on the UI/UX. The customisations aren’t as much and it all seems so dull. Despite all the good things, when integrated with a website or sent in mail, the link/display can be easy to miss. |
When it comes to reviews, both of the solutions have been receiving rave reviews given their ease to use and features provided.
And while both of them are rated above 4.2 or 4.4 by tech influencers’ sites such as Capterra, GetApp and Software advice, we feel that it isn’t right to compare them.
Why so? Well, we had mentioned the answer in the first paragraph itself
Let us, still have a look at what people WHO matter are saying:
The Sales Evangelist member, Donald C Kelly, says “The team understands the challenges in coordinating calendars and that’s why I love Calendly. This tool is perfect for ensuring that your schedules are well planned and plotted.”
Ozi Udezue, Founding Partner of Kernel Fund says “Calendly is an iceberg. On the surface, it’s a way to externalize your calendar. Below that, it’s valuable for Sales, Marketing, Customer Success, enterprise teams and so much more.”
Temitope A, Technical Lead writes: *Scheduleonce changed the way I work. *I like that there was a free trial and I took advantage of it to try the service and see how much it worked for me. It integrates with my Outlook Calendar and so there is no way for there to be a clash of appointments between what I have on my Outlook Calendar and what is scheduled on Scheduleonce. It accommodates people in different time zones by converting my free time to the time zone of the person, looking to book appointments with me.
Johny W, System Manager writes: *“Changed My Life!” *Ease of scheduling for customers and for potential applicants.
The last words essentially because we have already given an information overload here.
Calendly- Is good for a B2B scenario and business meetings. Given its limited paid features, it may not be preferable for small scale or early-stage startups. The overall backend is easy when it is just one user, the management becomes slightly tough when multiple users are added.
ScheduleOnce- Is a smart solution and the team has made some really good choices of features. The pricing is definitely a plus and so is the ease of usability. With its easy user pooling options, the solution does have an edge.
So, that was our verdict. You may differ and that is okay because we have tried our best to provide you with a lot of neutral content here with our views only in the end!
And, finally, whatever decision you make, do let us know the reviews!
